Overview

General clerical assistance to the Centerline Atlantic office and other departments as needed.

Responsibilities

  • Administrative Support: Manage day-to-day administrative tasks, including answering phones, scheduling meetings, taking meeting minutes, and coordinating travel arrangements. Support billing team. Manage moorage tracker for Centerline Atlantic harbor vessels. Aiding with the collection of vessel inventory (Bi-monthly) requirement.
  • Human Resources: Assist with new hire onboarding, including paperwork, and training. Manage payroll, time off requests, and employee inquiries. General tracking of employee requirements.
  • Office Management: Maintain office organization, assist with coordinating office events and functions. Perform general clerical tasks, such as filing documents and assist with mail/package distribution.
  • Procurement: Create purchase orders, manage office supplies, and assist with vendor coordination.
  • Communication: Maintain strong communication with various departments, including Operations, HR, Finance, and IT.
  • Other duties as assigned

Qualifications

  • Three years of administrative experience preferred.
  • Bachelor’s degree or equivalent preferred.
  • Typing: 60 Words per Minute
  • Computer Skills: Microsoft Word, Excel, Outlook and PowerPoint
  • Ability to work with others using courtesy, tact, and good judgment.
  • Professional appearance and telephone manner is essential.
  • Maintain the confidentiality of all sensitive communications.
  • Ability to understand and execute complex oral and written instructions and communications.
  • Ability to work on multiple tasks and meet deadlines in a fast-paced environment.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to work independently on assigned tasks with minimal or no guidance.
  • Must be able to read, speak, write, type, and understand English in person and over telephone.
  • Work with computers, fax machines, copiers.

Job Condition and Environment

  • Must have reliable transportation and be able to run errands.
  • Required to sit for long periods of time.
  • Infrequent light physical effort required.

Expected Hours of Work

  • Normal onsite office hours are 8:00 a.m. to 5:00 p.m. Monday through Friday.
