Overview

The office assistant will be in charge of the organization and efficiency of day to day office operations including, but not limited to, greeting and direct visitors,  answering phone calls,  and assist in various departmental projects. Additionally, they will assist managers with day-to-day activities as needed.

Responsibilities

  • Maintain the mailroom and collect, sort, and distribute mail and packages. Responsible for reconciling delivery service invoices.
  • Coordinate, purchase, and store office and kitchen supplies weekly.
  • Prepare ID cards for new employees and update ID cards for current employees.
  • Provide courteous, accurate and timely responses to customers, vendors, and employee inquiries.
  • Assist in coordinating travel reservations using Concur Travel for employees as needed.
  • Prepare responses to routine letters and memos.
  • Distribute information to vessels and employees including: notices, newsletters, memos, checks, and other information as directed.
  • Reconcile account statements and perform other clerical duties.
  • File electronically and physically as needed.
  • Assist with Company lunches and events including setup and cleanup.
  • Minor housekeeping tasks including general office cleanup and loading and emptying dishwashers.
  • Complete various administrative tasks assigned by multiple departments within the Company.
  • Other duties as assigned.

Qualifications

  • Minimum of three (3) years of administrative experience preferred.
  • Proficient with Microsoft Suite and operating standard office equipment including computers, multi-line phones, copiers, fax machines, and mail machines.
  • Experience using SharePoint is a plus.
  • Strong communication skills both orally and written.
  • Ability to work on multiple tasks and meet deadlines in a fast-paced environment.
  • Strong organizational skills with attention to detail and accuracy.
  • Must have proven ability to work with all levels of the organization, using courtesy, tact, and good judgment.
  • Must possess strong interpersonal and customer service skills and execute with a professional demeanor.
  • Proven ability to maintain the confidentiality of sensitive information and communications.
  • Must be self-motivated and able to work independently on assigned tasks with minimal supervision.
  • Valid State driver’s license.

Job Condition and Environment

  • Standard office environment. 
  • May be required to support occasional outdoor events.
  • Must be physically fit and able to perform normal office tasks such as carrying and putting away office supplies and groceries. Able to push a supply cart and lift and carry up to 30 lbs.
  • Required to sit for long periods of time
  • Must have reliable transportation and be able to run errands.

Expected Hours of Work

Normal office hours are 8:00 a.m. to 5:00 p.m. Monday through Friday.
