Overview

Assist with billing and accounts receivable operations including pulling data from multiple systems and creating sales invoices, entering invoices and/or sales batches, responding to customers/suppliers and monitoring contracts to ensure accuracy of billings.

Responsibilities

  • Daily generation of invoices & posting of ship assist/bunker activity
  • Monthly generation of invoices & posting of charter activity
  • Responsible for emailing/submitting customers’ requested documentation (invoices, credit memos and/or other statements)
  • Monitors contracts to ensure the billing of jobs are appropriate and accurate
  • Accurate, courteous, timely response to customers/vendors
  • Accurate and timely maintenance of company files and records including gathering documentation for financial statement audits
  • Provides ad-hoc assistance to other positions within the department
  • Collections responsibilities as assigned
  • Assists on other billing, AR, and reconciliation duties and projects as assigned

Qualifications

MINIMUM QUALIFICATIONS

  • Two+ years of AR/billing experience for a medium to large company
  • Strong attention to detail
  • Working knowledge of accounting and bookkeeping theories and practices
  • Self-motivated and able to work independently on assigned tasks with minimal supervision
  • Proven ability to work with all levels of the organization, exhibit a professional demeanor and possess strong interpersonal, communication and customer service skills
  • Proficient with Excel, MS Outlook, and other Microsoft productivity applications
  • Accountable for executing complex oral and written instructions
  • Maintains confidentiality of sensitive information
  • Collaborates with team to improve processes and ensure efficiency

PREFERRED QUALIFICATIONS

  • AA or BA/BS in Accounting or Business Administration
  • Intermediate to advanced Excel skills
  • Microsoft Dynamics (Great Plains) Accounting Software

Job Condition and Environment

  • Required to sit for long periods of time.
  • Infrequent light physical effort required.
  • Work with computers, fax machines, copiers, telephones.

Expected Hours of Work

  • Office hours are 8:00 a.m. to 5:00 p.m., Monday through Friday.
  • It is expected that you may work beyond normal office hours based on department demands.
