Overview

The primary role of the Operations Admin Specialist will be to coordinate and ensure the timely completion of various administrative duties in support of Operations. 

Responsibilities

  • Assist the dispatch team with monthly administrative tasks.
  • Front end payroll assistance for vessel crews.
  • Maintain daily tracking of crucial information regarding our tug & barge fleet.
  • Complete & publish regular customer, vendor, and internal reports as needed.
  • Collect, sort, and distribute vessel paperwork.
  • Occasionally assist in coordinating crew changes and crew travel.
  • Assist the operations group with special projects.
  • Assist with purchasing orders through Coupa as necessary.
  • Other duties as assigned by management. 

Qualifications

  • Excellent oral, written communication and interpersonal skills.
  • Need to be detail oriented and well organized.
  • Proficient with Microsoft Office Suite and general office technology skills.
  • Maintain the confidentiality of all sensitive materials and communications.
  • Valid State Driver’s License.

Job Condition and Environment

  • Work with computers, fax machines, copiers, telephones.
  • Required to sit for long periods of time.
  • Infrequent light physical effort required.

Expected Hours of Work

  • Typical working hours are M-F 8:00 am to 5:00 pm.
  • Additional hours or temporary changes to your typical work hours may be required based on operational demands and as directed by your supervisor.
