Provides administrative support to the Human Resources Department on all personnel matters and provides employee communications regarding compensation, benefits or company policies.  Requirements for this job change frequently with changing priorities.


  • Perform customer service functions by responding to employee requests and questions via phone, email, or in person
  • Responsible for the new hire onboarding for assigned companies to include scheduling pre-employment tests, review background check results, enter new hire information into various systems, create and maintain employee file, reporting employees to the state, and acting as main administrator of E-Verify
  • Process terminations to include termination letters, system maintenance and applicable benefit forms and appropriate, timely communications.
  • Verify mariner credentials, enter licenses, certifications, tests and trainings into internal systems
  • Verify and maintain I-9 documentation for active and terminated employees
  • Process lifecycle activities in ADP such as hires, terminations, positon changes, transfers, and pay changes
  • Responsible for creating and running reports using ADP
  • Assist with FMLA leave request tracking and documentation as needed
  • Create letters using mail merge
  • Process unemployment claims
  • Process educational reimbursements
  • Create sea time letters and random drug testing letters for maritime employees
  • May assist the HR department and management with various research projects and/or special projects
  • Ensure accurate and timely maintenance of files and records
  • Performs other related duties as required


  • High School diploma or GED
  • A minimum of two years’ experience in an office environment, HR preferred
  • Must be able to multi-task and prioritize in a fast paced, high volume setting
  • Experience using ADP, SharePoint, and iCIMS preferred
  • Experience with state and federal leave laws preferred
  • Extremely detail oriented with a high degree of accuracy
  • Exceptional verbal, written and interpersonal communication skills are a must along with a positive, can-do attitude
  • Ability to work with all levels of employees using courtesy, tact, and good judgment
  • Maintain the confidentiality of all sensitive communications
  • Ability to understand and execute complex oral and written instructions
  • Proficient computer skills using Microsoft Word, Excel, PowerPoint, and Outlook

Job Condition and Environment

  • Work with computers, fax machines, copiers, mail/postage machines, telephones
  • Required to sit for long periods of time
  • Infrequent light physical effort required

Expected Hours of Work

  • Normal office hours are 8:00 a.m. to 5:00 p.m. Monday through Friday
  • It is expected that you may work beyond normal office hours as required, based on department demands, goals and projects
