Overview

The primary role of the Dispatch Admin Specialist will be to coordinate and ensure the timely completion of various administrative duties in support of the Dispatch Team and Operations. Additionally, you will learn the workflow and daily tasks of the dispatch team. Once qualified, the Dispatch Admin Specialist will periodically be required to cover vacations and sick time for our dispatchers and crewing coordinator. This position is an opportunity to train and grow into higher levels within our operations group.

Responsibilities

  • Front end billing of tug and barge jobs.
  • Front end payroll for vessel crews.
  • Maintain daily tracking of crucial information regarding our tug & barge fleet.
  • Complete & publish regular customer, vendor, and internal reports.
  • Collect, sort, and distribute vessel paperwork.
  • Support the dispatch team with other varied admin and clerical duties as needed.
  • Occasionally assist in coordinating crew changes and crew travel.
  • Train and learn full duties and functions of dispatch.
  • Once qualified, will need to cover some dispatch shifts – including overnight and/or weekend shifts.
  • Adherence and understanding of Company operating policies and procedures.
  • Other duties as assigned.

Qualifications

  • Must have strong communication skills.
  • Need to be detail oriented and well organized.
  • Proficient with Microsoft office suite and general office technology skills.
  • Extensive Knowledge of tug and barge operations preferred, but not required.
  • Maintain the confidentiality of all sensitive materials and communications.
  • Ability to understand and execute complex oral and written instructions.
  • Ability to interface with others using courtesy, tact, and good judgment.
  • Valid State Driver’s License.
  • Valid TWIC or obtain upon hire.

Job Condition and Environment

  • Must be able to work overnight and weekend shifts on occasion.
  • Required to sit for long periods of time.
  • Infrequent light physical effort required.
  • Work with computers, fax machines, copiers, telephones.

Expected Hours of Work

  • Typical working hours are M-F 8:00 am to 5:00 pm.
  • Additional hours or temporary changes to your typical work hours may be required based on operational demands and as directed by your supervisor.
