Overview

Provide support to the Senior Executive Group by assisting with day-to-day activities, scheduling, and phone calls as needed. This role requires superior attention to detail, great organizational skills, and the ability to handle multiple urgent requests successfully.

Responsibilities

  • Manage business calendars, expense reports and travel arrangements for assigned Executives.
  • Handle and monitor President’s phone calls and messages. Respond to questions; take messages, route, and screen as appropriate.
  • Coordinate and be the primary lead on various company events.
  • Manage a variety of special projects for the President, some of which may have organizational impact.
  • Collect, sort, and route all incoming correspondence. Prepare replies to routine letters and memos.
  • Distribute information to vessels and employees including; notices, newsletters, memos, checks, and other information as directed.
  • Assist in writing press releases and contract proposals.
  • Perform office duties such as ordering supplies, managing Company records and general office clean up as necessary.
  • Other duties as assigned.

Qualifications

  • Proven experience as an executive assistant or other relevant administrative support experience.
  • Maintain the confidentiality of all sensitive communications.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills.
  • Professional appearance and telephone manner are essential.
  • Knowledge of maritime transportation industry is a plus.
  • Proficient computer skills using Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to work with others using courtesy, tact, and good judgment.
  • Ability to work independently on assigned tasks with minimal or no guidance.
  • Valid state driver’s license.

Job Condition and Environment

  • Required to sit for long periods of time.
  • Infrequent light physical effort required.
  • Must have reliable transportation and be able to run errands.

Expected Hours of Work

  • Normal office hours are 8:00 a.m. to 5:00 p.m. Monday through Friday, however hours will need to be flexible depending on company needs.
